How to Rewrite a Word Document Without Losing the Formatting

· 5 min read · GhostVerb team

You have a nicely formatted Word document: headings, a table, a few bold phrases, a coloured callout, maybe a logo in the header. You want the text reworded. So you paste it into a chatbot, copy the answer back, and spend the next half hour fixing fonts, re-bolding words and rebuilding the table.

Here's why that happens and how to avoid it.

Why copy-and-paste breaks formatting

A .docx file isn't just text. Underneath, it's a set of files describing every "run" of text and its style: this word bold, that phrase in a different font and colour, this paragraph in a numbered list. When you copy text into a chat box, only the words go. The answer comes back as plain text, so all of that styling has to be rebuilt by hand.

It gets worse with mixed formatting inside a sentence. If one word is bold and a link sits in the middle of a paragraph, the rewrite has no idea where they belong.

The manual way (if you must)

  1. Rewrite one paragraph at a time, not the whole document.
  2. Paste the result back with Keep Text Only (Ctrl+Shift+V in recent Word), so the paragraph keeps its style.
  3. Re-apply bold, italics, colours and links within the paragraph.
  4. Leave headings, tables of contents and captions alone unless they need changing.
  5. Check the document's properties afterwards. Some tools change the author or "last modified by" fields.

It works, but for anything longer than a page it's slow and easy to get wrong.

The faster way: rewrite inside the document

GhostVerb takes the .docx itself:

  1. Upload your Word file (or a .txt). Files from Word, Google Docs and LibreOffice all work. Save a PDF as Word first.
  2. Choose what to rewrite. Body paragraphs are selected for you; titles and headings are left alone unless you pick them. You only pay for what you select.
  3. Download the same file, reworded. Fonts, sizes, colours, bold and italic, links, lists, tables, images, headers and page layout stay exactly as they were. Formatting inside a sentence is carried into the new wording.

A few details that matter if the document is going to someone else:

  • Document details untouched. The author, created and modified dates and other file properties aren't changed.
  • Hidden characters removed. Any invisible AI watermark characters in the file are stripped throughout.
  • Nothing breaks silently. Each rebuilt paragraph is checked. If one can't be rewritten while keeping its exact formatting, it's left as it was and those words are refunded.
  • Review before you download. You see each original next to its rewrite and can untick any you'd rather keep.

Pricing is per word, only for what you rewrite: 1 credit per 100 words, from $10 for 9,000 words. No subscription.
